Winter/Summer Instructor Responsibilities

Even though you might have taught in the previous Spring or Fall semester, take a moment to carefully review below what you are expected and required to do as an instructor teaching in the English Department in Winter or Summer Sessions 2024. Please note that due to the condensed format of summer courses, the (mostly) online modality of Winter and Summer courses, the most recent PSC-CUNY union contract, and university-wide CUNY guidelines for Winter/Summer teaching, these tasks and responsibilities might be somewhat different compared with the regular academic calendar.

Administrative Responsibilities

Make sure to complete the following administrative tasks by their deadlines. Please note that many of these should be completed well before your course begins.

      • Complete and submit this Microsoft Form, in which you will submit your finalized syllabus and provide other course details e.g. the platform(s) students will be using and the schedule for your weekly office hour for each course you are teaching. This information will help the Department support students in your course, strategize to ensure that all courses run, and inform us how to best support your teaching.
        • Winter instructors must complete this Form no later than X.
      • Complete and return (to Jamie Arizmendy) the CUNY workload form.
        • Winter instructors must submit this form no later than Monday, November 6th.
      • Take attendance during the first week of classes in order to complete the Verification of Attendance (VOE) roster in CUNYFirst as required by Queens College. You will receive an email from QC with specific details and deadlines.

Curricular Expectations

All summer course syllabi must align with the learning goals and expectations of English courses as taught in Fall and Spring semesters. As you design and implement your syllabus, please make sure to:

      • Review relevant instructor websites for English Department courses and follow course guidelines and expectations. (Use “klapper” to access the password-protected portal.) For example, students in composition and writing-intensive (W) summer courses must produce at least the minimum number of pages/drafts expected in such courses during the regular academic calendar.
      • Revise the balance and quantity of class work and homework in light of the condensed format of your summer course. For example, even though students might still write three formal essays in your English 110 course (as is required in the Fall and Spring semester versions of the course), they will likely have less homework (compared with the regular semester) and should be expected to do more composing, developing, and revising of their drafts during class sessions (which are longer than the class sessions of the regular semester).
      • Include required syllabus components:
          • instructor contact information
          • office hours time and location/platform
          • course description
          • learning goals (based on goals stated in instructor websites for English courses)
          • class meeting schedule, if applicable (i.e. if you have synchronous class sessions)
          • descriptions of major assignments with due dates
          • course requirements
          • grading breakdown
          • appropriate policies e.g. plagiarism/academic integrity, late submissions, participation.
      • Revise your syllabus by stated deadlines if revision feedback has been provided.
      • Schedule to receive final student work no later than the last day of classes. Unless students request extensions (on a case-by-case basis), they should not be required to attend any further instructional sessions or office hours, or complete work after the last day of the summer session for their course.
      • OPTIONAL: QC does not administer course evaluations in the Summer and Winter, so you are welcome to ask your students to complete your own course evaluations.

Class Management Expectations

When teaching your summer course, please remember to:

      • Verify your students’ email addresses within the first two classes. We know from experience that students’ email addresses in CUNYFirst are not always the ones that students regularly use, so it is imperative that you immediately confirm your students’ most-used email addresses especially since these will be crucial to teaching and communicating effectively in your online course.
      • Inform your class as well as the Summer Chair (ENGLSummerDirector@qc.cuny.edu) and English Department Office (english@qc.cuny.edu) if you have to miss a class. In light of the condensed format of Summer Sessions courses, please try your best to avoid missing more than a single scheduled synchronous class session. Keep in mind that some students are paying out-of-pocket in the summer and each class missed equals a significant loss of instructional time.
      • Submit final grades in CUNYFirst no later than a week after the completion of the Summer Session in which you are teaching. Grade rosters for the Summer 2022 sessions will be available beginning on the last day of classes for each summer session.Grade rosters are accessible in CUNYFirst (->HR/Campus Solutions->Self Service-> Faculty Center->My Schedule->Grade Roster). Look for the grade roster icon to the left of the class name). For definitions of all grades and for point-letter grade conversions, go to https://www.qc.cuny.edu/aac/academic-and-grading-policies/.
